Scope and operator
Mail Auto is operated by Lâu Bản Vĩ and provides email assistance applications and services to users worldwide. This policy applies to mailauto.net, the Mail Auto app and related features.
If you have questions about personal data or wish to exercise your rights, contact contact@mailauto.net. If you use the service on behalf of an organization, that organization may also determine how data in its mailboxes is used.
Data we process
Depending on the features you use, Mail Auto processes the following types of data:
- Account and login sessions: your name, email address, authentication information, third-party login identifiers and session data needed to maintain and protect access.
- Mailboxes and email: mailbox addresses, senders, recipients, subjects, content, timestamps, conversation history, attachments and delivery status.
- AI assistance data: knowledge articles, business information, tone guidelines, rules, drafts, summaries, follow-up tasks and reports.
- Settings and notifications: language, email processing preferences, notification preferences and device or push subscription identifiers when push notifications are used.
- Plans and transactions: customer identifiers, purchased products, subscription status, receipts and usage. Payment details you enter in an app store are processed by that store.
- Operations and support: technical logs, errors, security events and information you voluntarily provide when contacting us.
Emails may contain other people's data. You must have appropriate rights to forward emails, upload documents or provide that data to Mail Auto.
Why we use data
Data is used to create and manage accounts, operate mailboxes, receive and send email, apply your rules, provide AI features, synchronize status and notify you.
Mail Auto also processes data to manage plan entitlements, reconcile transactions, support users, resolve errors, prevent abuse and fulfill applicable legal obligations.
Depending on the circumstances and applicable law, processing may rely on providing the service you request, consent, legal obligations or legitimate interests in operating and protecting the service. Where a feature requires your permission, you can manage that choice in the app or your device settings.
How AI processes data
When you use AI features, email content, sender, subject, relevant conversation history, selected knowledge and reply instructions may be sent to an AI processing provider. Results are used to categorize, summarize, suggest tasks, draft replies and create reports.
In the current email analysis flow, AI may receive attachment names to identify messages that need review; attachment contents are not included in the email analysis prompt.
You can manage the knowledge available to AI, configure rules and choose whether to allow automatic sending in the app. AI results may be incorrect or lack context; check important information before using or sending it.
External services and data sharing
To provide the corresponding features, necessary data may be processed by the following types of services:
- Email: sending, receiving and forwarding providers process email content, addresses and delivery status.
- AI: model providers process data relevant to requests for analysis, summaries or draft replies.
- Authentication and notifications: login and push notification services process identifiers, authentication information or data needed to send notifications.
- Payments and subscriptions: App Store, Google Play and subscription management services process transaction data, customer identifiers and plan entitlements.
- Infrastructure: server, database and file storage services support the operation of the app.
When you send an email or enable automatic sending, recipients and their email systems receive its content. Mail Auto may also disclose information where necessary to comply with valid legal requests, protect rights or address abuse.
External services have their own policies for their operations. You can contact contact@mailauto.net to ask about data processing related to your account.
Cross-border data processing
Mail Auto serves users worldwide. Depending on the infrastructure and providers used, data may be stored or processed in a country other than where you live. Data protection rules may differ between countries.
Data transfers must comply with applicable legal requirements, including requirements for a transfer basis and relevant safeguards. To ask about cross-border processing of your data, please use the contact address at the end of this page.
Data retention and protection
Data is retained according to the purpose and lifecycle of each feature: account data supports account maintenance; emails, documents and AI results support mailbox processing; transaction and operational data support reconciliation, security and applicable obligations.
Retention also depends on account status, the service's retention periods and deletion requests. Some information may continue to be retained where needed to resolve disputes, prevent fraud or fulfill legal obligations. You can ask about retention of specific data at contact@mailauto.net.
Mail Auto uses authentication and access controls to protect accounts and data. No method of transmission or storage guarantees absolute security. Protect your password and device, and contact us promptly if you suspect unauthorized account access.
Your rights and choices
Depending on applicable law, you may request access to or a copy of your data, correction of inaccurate information, deletion, restriction of or objection to certain processing, data portability, and withdrawal of consent for processing based on consent.
Send your request to contact@mailauto.net, stating your account email and the assistance needed. Mail Auto may request appropriate information to verify your entitlement to the data before processing your request. Do not send passwords, verification codes or payment card details by email.
Requests are reviewed under applicable law and limits needed to protect other people's rights. Withdrawing consent does not affect the lawfulness of earlier processing. You may also contact the competent data protection authority where you live.
Requesting account and data deletion
- Open Mail Auto and go to Settings → Delete account .
- Read the information on screen, verify with your password and enter the confirmation text requested by the app.
- Confirm the request. Your account enters the deletion process and its mailboxes stop operating.
If you cannot access the app or want to request deletion of some data, email contact@mailauto.net with the subject “Mail Auto data deletion request” and your account email. Ownership may need to be verified before the request is processed.
Deletion runs through a queue and does not finish immediately upon confirmation. The process handles the account, mailboxes, emails, attachments, rules, knowledge and related reports; running jobs or technical errors may delay completion.
Some transaction identity, entitlement and reconciliation records are retained. Retired mailbox addresses are kept to prevent reassignment to others. Data managed by email recipients or external services is not automatically deleted from their systems.
Deleting your account or uninstalling the app does not automatically cancel an App Store/Google Play subscription. You must manage and cancel subscriptions in the store where you made the purchase.
Website, devices and younger users
When you choose a language, the website stores your preference in the mail_auto_locale cookie for one year. This cookie only remembers language and is not used for advertising. You can change your choice at any time or delete the cookie in your browser. Without a saved choice, the site uses your browser language and falls back to English if it is not supported.
The marketing website currently has no advertising or behavioral analytics tools. Its hosting infrastructure may still process technical information needed to provide and protect your connection. When you follow external links, data processing at the destination is governed by that site's policy.
In the app, some settings and session information are stored on your device to maintain the experience. You can manage notification permissions in your operating system settings.
Mail Auto is intended for email and work management. Users who are not old enough to decide on using the service under the law where they live need permission from a legal representative. If you believe a child's data has been provided inappropriately, please contact us for review and action.
Policy updates and contact
This policy may be updated as the service, data processing or legal requirements change. New versions and their update dates will be published here; changes requiring notice or consent will be handled in accordance with applicable requirements.
